Managing Payments

When an item sells on one of the listing markets - either by ending with a winning bid, or by being purchased using a "Buy It Now" mechanism - it will show up in the Unpaid list in Meridian. These Unpaid items can be viewed by clicking the Unpaid button on the Auctions tab. Listings will stay in the Unpaid list until a payment is recorded for the item. Payments can be recorded either by manually entering them or subscribing to PayPal's Instant Payment Notification (IPN) system.

Manually Entering Payments

Go to the Unpaid page by clicking on the Unpaid button on the Auctions tab. Locate the item you want to enter a payment for. If it's not visible on the first page, you can search for the item by using the search box.

Once you've located the item, click the green $ icon next to the customer's name. This will take you to the Enter New Payment page with much of the item and customer information filled out.

Depending on the type of payment selected, different fields will be required to complete the payment. Fill in the rest of the details and click the Save button.

Setting Up Instant Payment Notification

PayPal's Instant Payment Notification (IPN) system is a way to have PayPal send payment notifications to 3rd party services, like Meridian. By taking advantage of PayPal's IPN system, you can have your listings in Meridian automatically update with payment status, fees, and shipping information. If you are a paying subscriber, please contact support for instructions on setting up the IPN.

Pending Payments

PayPal payments that have been automatically imported either by the PayPal processor or through PayPal's IPN system may come in as Pending payments. You can identify a pending payment by the orange "clock" icon in the status column. A PaidInFull payment will have a green checkmark icon.

A payment may be imported as a pending payment for a few reasons. The first and most common reason is that the person sending the payment has an unconfirmed address. The other reason is if the payment amount is different than the Meridian invoice amount.

It is up to you to decide if you want to accept these payments and move them on to shipping. If you are satisfied with a pending payment, you can change it's status to PaidInFull by clicking the details icon (magnifying glass) next to the payment. From this details page select the "Edit Payment" link and change the status dropdown listbox to "PaidInFull".

Finally, click the Save button at the bottom of the payment to save the status.

Once a payment has been successfully saved with a status of PaidInFull, the appropriate listing(s) will be removed from the unpaid section and will show up on the packing list. See the Shipments help page for managing your shipments.

Viewing Saved Payments

The other buttons on the Payments tab will allow you to view saved payments filtered by a particular type. For example, click the PayPals button to view PayPal payments, or click the Pending button to view payments that are in a status of pending. Each view will have a details icon next to each payment record that will allow you to view the details of a payment, and edit it if necessary.
